We're hiring a Coffee Club Coordinator to independently lead our in-person event series, the Cultivating Conversations Coffee Club. This program is a global event series that brings like-minded people together at local coffee shops for genuine connection. Since launching in 2024, we've hosted over 60 clubs across 25+ cities, and we're looking for someone who can help us continue this success in an intentional way.
In this flexible role, you'll wear many hats: part event planner, part community builder, part logistics manager. You'll build on an established network of hosts and coffee shop partners while continuously sourcing new ones to ensure each gathering is seamlessly executed. You'll be supported with an established system, clear training, and a thoughtful team behind you. This role is ideal for someone who is organized, personable, and passionate about building real-life community, specifically if you have prior relevant experience running events for brands.
Responsibilities:
• Research and secure coffee shop partners, drawing on established existing partnerships while identifying new ones in cities where we're expanding.
• Review community submissions to identify cities with demand.
• Source brand-aligned hosts for each club.
• Plan and coordinate 10 Coffee Club events per season across new and repeat cities.
• Ensure each event is fully sold out, on-brand, and smoothly executed from start to finish.
• Lead our seasonal host onboarding and training call.
• Collaborate with marketing and operations to support ticket sales and logistics.
• Maintain strong relationships with existing hosts and coffee shop partners.
• Provide customer service for all event-related inquiries.
Requirements:
• 2+ years of relevant brand event experience.
• Use Canva to create on-brand pitch decks to present the Coffee Club to potential coffee shop partners.
• Use Slack to communicate with our internal team and Milanote to track host outreach, venue details, and event logistics.
• Maintain consistent communication with hosts, coffee shop partners, and our internal team to keep all moving parts aligned.
• Attend bi-weekly check-ins with the CEO to share updates, insights, and learnings to strengthen the program.
